Our point of view

Evidence is valuable because of the question it answers—not because a folder looks complete. Quality means connecting the artifact to the control, scope and period being reviewed.

Key points

Documents and glasses beside a laptop on a working desk

An evidence folder can contain a file for every request and still leave the reviewer unable to answer the underlying question. Evidence quality depends on its relationship to a requirement, its scope, its timing and the reliability of its source—not just the presence of an attachment.

Start with the question

Write down what the control is meant to do and what the reviewer needs to establish. Evidence that a policy exists is different from evidence that the policy operated over a period. Confirm expectations with the relevant reviewer rather than assuming one screenshot will satisfy every framework.

An illustrative access-review example

A dated export of users may describe an account population. By itself it does not show that an appropriate reviewer evaluated access, recorded decisions and followed up on removals. A useful package connects the relevant population to the review record, decisions and resulting actions. This is an illustrative planning example, not a universal audit requirement.

Preserve context without oversharing

Keep an index that explains each artifact, its owner and the question it answers. Limit distribution of sensitive information and use agreed secure sharing methods. Redaction must not remove context essential to the review; resolve that trade-off with the authorized reviewer.

Turn gaps into owned work

Use the evidence checklist to prepare a conversation, not calculate a readiness score. Assign remediation, record limitations and confirm which items need specialist or auditor input. VioletX can help organize evidence and readiness work, while the independent reviewer determines whether the evidence meets the applicable engagement requirements.
