Identify the system, population and period
A screenshot without scope or timing may not demonstrate the required operation.
Record source, owner and collection method
Allow the reviewer to understand provenance and follow up.
Explain exceptions and missing coverage
Do not conceal gaps behind a complete-looking folder.
Agree reviewer expectations and secure access
Confirm the agreed format and protect sensitive records.
